Adding retailers to your Promoboxx network? Send your Customer Success Manager a CSV or Excel file with:
- Store name
- Store address
- At least one store contact email, ideally for a marketing contact
- Assigned sales rep, if applicable, to support registration reporting
Including custom fields - such as account number, region, product lines carried, tier level, or top-account status - is highly recommended. These details support more targeted campaigns, list building, and reporting.
Your Promoboxx team can format the list for you. However, if you prefer to format it yourself, the guidelines below explain how retailer information should be organized for import.

Location Formatting
Contact Formatting - Single & Multiple Users
The marketing contact at each location is the best option, but we understand not every business has someone dedicated to marketing! We recommend the person who manages digital and social channels to be the main point of contact. Mobilize sales team to collect up-to-date contact information. We recommend adding at least 2 - 3 users per account. Employee changeover happens and we want to be sure that someone can still access the Promoboxx account.
Custom Fields - Unique Identifiers
We collect standard data for your accounts like name, address, website, and phone number, but if you need to collect additional data (i.e. Account Number, Sales Rep Info), we will create a unique custom field for advanced reporting on your accounts program performance.
- Just add a new column and label the header appropriately in your .csv
- We build the custom fields in Promoboxx.
- Fill out the appropriate information in the column(s)
- We’ll take care of the rest!
Address Formatting
For a quality and successful retailer list upload, we’ll want to be sure location information is consistent. Here are Our Best Practices:
- City = Proper Spelling
- Country Code = US or CA
- State = Abbreviation (example: New York = NY)
- Zip Code = 5 digits (be sure column is formatted for zip codes. Sometimes zip codes that begin with 0 aren’t formatted properly and the 0 gets dropped!)
