Retailer List Overview

This overview will guide you through formatting your retailer list for import to Promoboxx. This will become your retailer network. We will cover the following topics in the overview. It is important to format the account list properly for import to include the desired data you wish which will allow you to segment your retailers for reporting and list building purposes. 
  • How to add multiple locations 
  • How to add users  
  • Custom Fields
    • ex: Account Number, Sales Rep, Product Lines, Tier Levels, Top Account(s) etc 
  • Address Formatting 

Location Formatting 

You may upload multiple locations & contacts per retailer. To add a retailer with multiple locations, include a new row leaving the retailer name column blank and adding the information from the address forward. So long as there is no new information in the “Name” column, our platform will understand that the information belongs to the previous retailer and will include it as part of its information.

Contact Formatting - Single & Multiple Users

The marketing contact at each location is the best option, but we understand not every business has someone dedicated to marketing! We recommend the person who manages digital and social channels to be the main point of contact. Mobilize sales team to collect up-to-date contact information. We recommend adding at least 2 - 3 users per account. Employee changeover happens and we want to be sure that someone can still access the Promoboxx account.

Custom Fields - Unique Identifiers

We collect standard data for your accounts like name, address, website, and phone number, but if you need to collect additional data (i.e. Store ID), we will create a unique custom field for advanced reporting on your accounts program performance.

  • Just add a new column and label the header appropriately in your .csv
  • We build the custom fields in Promoboxx.
  • Fill out the appropriate information in the column(s)
  • We’ll take care of the rest!

Address Formatting

For a quality and successful retailer list upload, we’ll want to be sure location information is consistent. Here are Our Best Practices:

  • City = Proper Spelling
  • Country Code = US or CA
  • State = Abbreviation (example: New York = NY)
  • Zip Code = 5 digits (be sure column is formatted for zip codes. Sometimes zip codes that begin with 0 aren’t formatted properly and the 0 gets dropped!)
